Supplier requests

A passport needs data that often sits with your suppliers: what the parts are made of and which certificates cover them. Supplier requests let you ask for it by email, review the answer, and import it into the product's passport. This article is for the people who prepare passports.

Send a request

You can start a request from two places.

From the Suppliers page:

  1. Go to Passports › Suppliers.
  2. Click Request data.
  3. Choose the Product and enter the Supplier email.
  4. In Ask for, choose Materials and certificates, Materials or Certificates.
  5. Optionally set a Due date and add a Message describing which part you mean.
  6. Click Send request.

From a product: open the product under Passports, then use Request from supplier on the Materials & Substances tab (materials) or the Certifications tab (certificates).

The supplier gets an email with a Submit data button.

How suppliers answer

Suppliers have two ways to answer, and neither needs a Veribl account:

  • The invite link. The button in the email opens a form where the supplier enters their name and email, the materials (material, type, share, recycled content, recyclable, biodegradable), certificates, and notes for you. The link is valid for 30 days.
  • The partner portal. The supplier can sign in at dpp.veribl.com with the same email and a one-time code. There they see all requests from all their brands in one place, can reuse earlier answers, and keep a library of materials and certificates. See Partner portal.

For each certificate the supplier can enter the issuer, number, issue and expiry dates, and attach a file (PDF or photo).

Track requests

The Suppliers page lists every request with the supplier, product, what was asked for, Due date and Status:

StatusMeaning
Waiting for supplierThe supplier has not answered yet.
To reviewThe supplier sent an answer and it is waiting for you.
Sent backYou asked the supplier to change something.
ImportedYou approved the answer and it is in the passport.
CancelledYou cancelled the request.

A banner on the Passports overview tells you how many answers are waiting. To stop a request, use Cancel request in the row menu. The supplier can no longer answer it.

Review an answer

  1. Click a request that is To review, or choose Review answer from its menu.
  2. Check the materials table, the certificates (open attached files to read them) and the supplier's notes.
  3. Click Approve and import to add the data to the product's passport, or Send back and explain what should change. For example "Shares add up to 92%, please include the cell chemistry."

Nothing goes into a passport until you approve it. Imported data appears in the product's passport tabs and counts on its checklist once you publish the next version. After approving, you can still open the request with View answer.

Signed declarations

Every time a supplier submits, Veribl keeps what they declared exactly as they sent it: who sent it, from which email, for which organisation, whether they were signed in, and when. These records are signed and linked in order, so they cannot be changed or removed later. A new answer does not overwrite the old declaration.

A signed declaration proves who declared what and when. It does not prove that the claim is true.

Tip: Name the specific part in your message and set a due date. Suppliers answer faster when they know exactly what you need.
